In this post on the Southwest Office Solutions blog, we wanted to take a moment to discuss a few printer settings that you might need to adjust as you settle back in—but note that even if you’ve already been back to the office or it’s just time for a brush-up, these are good settings to review anytime.
First Things First: Update Your Xerox Devices to The Latest Version (Why & How)
If you haven’t updated your Xerox devices in a while—or you just want to confirm that automatic updates are still enabled and working properly—this is a great place to start. Since most Xerox multifunction printers are slightly different in how and where these settings work and are located, please refer to the Xerox Support website. Enter the make and model of your device and you’ll be able to find detailed instructions.
Having said that, typically you can ensure that updates are enabled from the “system” menu on your display panel, which generally will require administrative access. You may also be able to run and set up automatic updates via the web panel or embedded web server for your device.
Don’t Forget to Update Access Controls & User Permissions
As people come and go from an organization—or move to different departments, or gain promotions, or do any of the other multitude of things that could change their level of access to your print devices, you’ll have to update their access controls and user permissions. Make sure to review the user access controls and permissions settings that you have on your printer. You may find that certain people no longer need the access they once did, or that some team members need more access.
Consider a Cybersecurity Review Whether You’re Working in the Office or At Home
Whether your team is working in the office or from home—or a little bit of both—it’s a great idea to set aside a little time for a cybersecurity review. This, of course, will vary on the size of your organization and what you do, how sensitive the information you work with is, and so on, but it certainly wouldn’t hurt.
At the very least, ensure that staff members are using strong, unique passwords, that they’re using only approved software and services, and that they’re aware of common threats such as phishing. Checking in with your team regularly regarding these threats can be the first step to prevention.
